Description

We are seeking a confident and responsive administrator to support our small team in delivering our massive offer to the local community.

It’s a person focused role, with time split between the front desk at The Old Fire Station and as the first point of contact at the Stress Project.

​ The ideal candidate will be:

  • Flexible and unflappable, handling multiple tasks, balancing a wide range of priorities, while providing a warm welcome to our members.
  • Self-motivated, able to work independently, across two sites.
  • Tech savvy, with some experience of and ability to learn loads of different computer packages from word and excel to booking systems and finance programmes.

We are a local charity and the role would suit someone with connections to the area, who has a vested interest in improving the quality of life for those living in Nag’s Head and the Finsbury Park ward of Islington.

Duties

  • Covering reception (2 days on each site) and responding to initial enquiries (via website, phone email and in person).
  • Setting up service and counselling bookings with clients and the team.
  • Managing referral forms and booking assessments for clients.
  • Supporting client feedback collection and entering it into the relevant system.
  • Managing the delivery of events and courses and overseeing room bookings.
  • Overseeing HNG’s administrative tools, systems, and processes to ensure that the team can function smoothly.
  • Organising regular team meetings
  • Supporting the managers in the day-to-day running of the centre buildings including assisting in organising events and activities.
  • Handling invoices and petty cash management
  • Sourcing, managing and organising office materials
  • Providing initial IT account set up and troubleshooting for the team.
  • Overseeing the relationship with our IT support supplier to ensure all HNG IT needs are met.
  • Supporting trainee therapists with using our database and setting up inductions when necessary.
  • With the Data Officer, ensuring effective collection of data and accurate data management (Lamplight).


Essential criteria

  • Experience in a busy environment and prioritising wide-ranging responsibilities.
  • Experience of social media platforms to promote services to relevant audiences.
  • Experience using Microsoft Office and other IT packages (e.g. web page development, accounting software and customer relations/ data management would be useful).
  • First-rate customer care skills including an understanding of the differing needs of diverse communities and an ability to respond in a sensitive manner.
  • A highly flexible approach to work, with the willingness to learn, problem solve and to work co-operatively as a member of a small team.
  • Excellent communication skills, including the ability to write clearly and succinctly.
  • An eye for detail with an ability to spot errors and maintain high levels of accuracy in records and data.
  • First rate digital skills, for example posting on social media, IT troubleshooting, developing user-friendly forms, and producing reports from databases.

Working hours: Monday to Friday, 9.30am-5pm.

As a charity dedicated to promoting good mental health we are committed to staff wellbeing and support flexible working.

For this reason the terms are open and negotiable 28-35 hours a week.

£24,000 pro rata.
